This Privacy Policy describes how Notecaster ("we," "us," or "our") collects, uses, and discloses information when you use our web application, Notecaster, available at notecaster.app.

1. Information We Collect

When you use Notecaster, we collect the following types of information:

  • Email Address: When you authenticate with your Google account, we collect your primary email address associated with your Google account. We do not collect any other personal information from your Google account.
  • User Input Data: We collect and store the content you voluntarily input into the application, such as your Notebooks, Notes, Notables, and any other text-based data you create or manage within Notecaster.
  • Temporary Audio Recordings: We temporarily collect audio recordings you upload or create within the application specifically for the purpose of generating text transcriptions. These audio recordings are not saved after processing.
  • Temporary Images: We temporarily collect images you upload specifically for the purpose of performing Optical Character Recognition (OCR) to extract text. These images are not saved after processing.
  • Interaction Data (for LLM Processing): When you use features that interact with Large Language Models (LLMs), specific portions of your text-based user input data relevant to that feature (e.g., a note you ask to summarize, or newly generated text from transcriptions/OCR) are sent to the LLM provider for processing.

2. How We Use Your Information

The information we collect is used for the following purposes:

  • Authentication: Your email address is used to authenticate your identity when you log in to Notecaster, allowing us to create and manage your user account.
  • To Provide and Maintain Services: We use your email address and user input data (Notebooks, Notes, Notables) to operate, maintain, and provide the core functionalities of Notecaster, including storing and displaying your content.
  • Audio Transcription: We send your temporary audio recordings to Google's Gemini for processing to generate text transcriptions, which may then be saved by you as user input data.
  • Image OCR: We send your temporary images to Google's Gemini for processing to perform Optical Character Recognition (OCR) and extract text, which may then be saved by you as user input data.
  • LLM-Powered Features: We send relevant portions of your text-based user input data (including text generated from transcriptions and OCR) to Google's Gemini for processing to provide features that leverage artificial intelligence (e.g., summarizing notes, generating ideas from your content).
  • Improve Services: We may use aggregated and anonymized data (data that cannot be linked back to you) to understand usage patterns and improve Notecaster's performance and features.

3. How We Share Your Information

We utilize third-party services to operate Notecaster. We share your information only as necessary to provide our services, and with parties who are committed to protecting your data.

  • Supabase (Backend Database): Your email address and all user input data (Notebooks, Notes, Notables) are stored and managed by Supabase, our backend database provider. Supabase acts as our data processor. You can review Supabase's privacy policy on their website.
  • Google Gemini (LLM, Voice Processing, and OCR Provider): When you use features that involve text processing, voice transcription, or image OCR, relevant data (text, temporary audio recordings, or temporary images) is sent to Google's Gemini API for processing. Google's policy for data sent via their APIs typically states that it is not used for training their general-purpose LLMs unless you explicitly opt-in or use specific consumer services that state otherwise. [NOTE: You MUST verify this with Google's specific terms for the Gemini API(s) you are using for voice, OCR, and general LLM. If you are using a consumer-facing Gemini product or a version of the API that does use data for training, you must state that here, and potentially offer an opt-out.] We do not permit Google to use your data for training their general-purpose LLMs.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency request).
  • Protection of Rights: To protect the rights, property, or safety of Notecaster, our users, or the public as required or permitted by law.

4. Data Retention

We retain your data as follows:

  • Email Address: Retained for as long as you have an active Notecaster account.
  • User Input Data (Notebooks, Notes, Notables): Retained until you choose to delete them through the application interface.
  • Audio Recordings: Deleted immediately after processing for transcription purposes. We do not retain original audio files once transcription is complete.
  • Images: Deleted immediately after processing for OCR purposes. We do not retain original image files once OCR is complete.
  • Data Sent to LLMs: Text-based data, temporary audio, and temporary images sent to Google Gemini are processed to provide the requested output and are typically not retained by Google beyond the duration necessary for providing the service response. We do not retain copies of data sent to LLMs longer than necessary to process your request and display the results.

If you choose to delete your Notecaster account, we will promptly delete your email address and all associated user input data (including stored Notebooks, Notes, and Notables) from our systems, subject to any legal obligations to retain certain data for a specified period.

5. Data Storage

All data is stored on servers located in the United States. By using our services, you consent to your data being stored in the United States.

6. Data Security

We are committed to protecting the security of your information. We utilize the security measures provided by Supabase and Google to protect your data during transmission and storage. While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.

7. Your Rights

Depending on your location and applicable laws, you may have the following rights regarding your personal information:

  • Access: The right to request access to the personal information we hold about you.
  • Rectification: The right to request correction of inaccurate or incomplete personal information.
  • Erasure (Right to Be Forgotten): The right to request the deletion of your personal information and user-generated content.
  • Restriction of Processing: The right to request that we limit the way we use your personal information.
  • Data Portability: The right to receive your personal information in a structured, commonly used, and machine-readable format.
  • Object to Processing: The right to object to the processing of your personal information in certain circumstances.

8. Children's Privacy

Notecaster is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as soon as possible.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top. You are advised to review this Privacy Policy periodically for any changes.
